Move your company's processes out of spreadsheets and into systems that run themselves

We map how your company works, find where time and leads leak, and move those steps into a CRM, automated workflows and AI agents. We start with a pilot tied to a measurable KPI, not a year-long programme.

Quote and schedule after your brief

Who it's for

  • Owners of small and mid-size companies running on spreadsheets, chats and individual memory
  • Teams losing leads between the website, phone, email and messengers
  • Companies of 5–50 people whose processes haven't kept up with growth
  • Businesses that already pay for a CRM or ERP that nobody uses fully

Problems we solve

Leads come from several channels and some simply disappear

We route every channel (website forms, calls, email, WhatsApp, social DMs) into one CRM. Then we set up assignment rules and reminders so every lead has an owner.

People copy data between spreadsheets and tools by hand every day

We connect your tools through n8n, Make or Zapier (visual builders for automated workflows). Data moves on its own, and manual copy errors drop.

Key knowledge lives in one person's head

We document processes as diagrams and short instructions. If someone goes on leave or quits, the work doesn't stop.

You tried to roll out a CRM before and it never stuck

We simplify the process on paper first, then move it into the system. We train your team on real tasks, not demo data.

What's included

  • Interviews with the owner and key staff: who does what and where it stalls
  • A map of current processes, from first enquiry to payment, with bottlenecks marked
  • Tool selection for your budget: HubSpot, Pipedrive, Zoho, or plain spreadsheets if a CRM is premature
  • CRM setup: pipeline stages, fields, roles, message templates
  • Integrations with your website, email, Google Workspace or Microsoft 365, Slack, and payment tools like Stripe
  • Automated workflows in n8n, Make or Zapier: reminders, deal creation, invoices, status updates
  • An AI agent for routine tasks: first reply to a lead, enquiry qualification, email drafts
  • Migration of existing data from spreadsheets and legacy tools, with duplicates cleaned
  • Team training and short written guides
  • A dashboard with 3–5 key numbers so the owner sees the process without asking for reports

How we work

01

Brief and requirements

You describe the task and current workflow. We clarify requirements, choose a first stage and prepare a quote.

02

Process audit

We talk to the people who do the work every day and map the process. Together we pick one process for the pilot and the KPI we'll judge it by.

03

Pilot build

We configure the CRM, integrations and workflows in stages. Payment is split into stages too, and you see results after each one.

04

Training and launch

We show your team how to work in the new system using real tasks. For the first days after launch we stay available and fix small issues quickly.

05

KPI check and handover

After a month we compare the numbers with the starting point. All accounts, files and access belong to you under the agreed terms, so you are never locked in.

Scope and limits

  • We don't promise automation will replace people. It removes routine work, but your team still makes the decisions.
  • We don't automate a chaotic process as it is. It has to be cleaned up first, and that often takes longer than configuring the tools.
  • We can't guarantee your team will adopt the new system straight away. Without your involvement and a manager's backing, even a well-built CRM stays empty.

FAQ

Where do we start if we don't know what to automate?

Start with a process audit or the free project brief on our site. We'll find the one or two processes with the biggest losses and propose a pilot with a concrete KPI. You don't need a large project.

Which CRM do you recommend?

It depends on team size and budget. For small teams, Pipedrive or Zoho are often enough. HubSpot suits companies that need marketing and sales in one place. Sometimes well-built spreadsheets are enough at the start, and we'll tell you so.

What do you need from me and my team?

We agree on the schedule after clarifying scope and dependencies. Without that, we'd be guessing and the result would be weaker.

How do you estimate the cost?

We prepare a quote after reviewing your brief and requirements. A first stage can cover: interviews with 3–5 staff members; Process map and list of bottlenecks. Scope, payment and schedule are agreed before work starts.

Will the accounts and data stay with us?

Yes. CRM, automation accounts, domains and files are registered to you under the agreed terms. We work as your administrators, and you can change provider at any time.

What if the pilot doesn't deliver?

We agree the KPI before we start. If the numbers don't move, we review why together: the process may need more work, or the chosen tool may be wrong. We don't promise results in advance, but we show them in numbers.
