Move to a new CRM without losing data or keeping duplicates

We migrate contacts, companies, deals and notes from spreadsheets or your old CRM into a new one. We deduplicate first, then import, then check the counts. You get a clean database, a backup of the old one, and full ownership of every account.

Quote and schedule after your brief

Who it's for

  • Teams moving from Excel or Google Sheets into a real CRM
  • Companies switching CRMs, for example to HubSpot, Pipedrive or Zoho
  • Owners whose database holds the same customer three or four times
  • Businesses merging several databases after an acquisition or a change of sales staff

Problems we solve

We're afraid of losing deal history and notes in the move

We take a full backup and write a field map before touching anything. After the import we reconcile record counts between the old and new system and send you the report.

Our database is full of duplicates and reps email the same person twice

We match on email, phone, company name and fuzzy name spelling. Clear matches get merged. Doubtful ones go to you as a list for a decision.

Data is scattered across spreadsheets, inboxes and an old CRM

We consolidate everything into one structure, normalise phone formats and company names, and load it into the new CRM in a single pass.

Reps resist the switch because the new system looks empty

We import active deals, contacts and notes so each rep opens the CRM and sees their own work on day one. A short training session is part of the work.

What's included

  • Audit of the current data: sources, quality, and what is not worth migrating
  • Full backup of the old data, handed to you
  • Field map: which source field goes into which field in the new CRM
  • Cleanup: consistent phone and email formats, company names, removal of empty and test records
  • Duplicate detection and merging under rules agreed with you
  • Test import on a small sample to catch mapping errors before the real run
  • Main import of contacts, companies, deals, notes and attachments (where both systems support them)
  • Record count reconciliation and manual spot checks
  • Pipeline, stages and user permissions set up in the new CRM if needed
  • Short report: what was moved, merged and left behind

How we work

01

Brief and requirements

You describe the task and current workflow. We clarify requirements, choose a first stage and prepare a quote.

02

Field map and rules

We agree on what to move, what to clean and what counts as a duplicate. Everything is written down.

03

Test import

We move a small slice of data and review errors together while the main database is still untouched.

04

Main import

We run the full migration, reconcile record counts and spot-check records by hand.

05

Handover

You get the report and your team gets trained. Accounts, files and access are already yours.

Scope and limits

  • We don't promise a perfect database. If the source data is wrong or incomplete, we can't guess the truth.
  • We don't merge doubtful duplicates without you. Ambiguous records are your decision.
  • We don't guarantee that everything transfers. Call recordings or custom fields depend on what the new CRM supports.

FAQ

How much does a CRM data migration cost?

We prepare a quote after reviewing your brief and requirements. A first stage can cover: audit and backup; Cleanup and duplicate merge. Scope, payment and schedule are agreed before work starts.

Will my team have to stop working during the migration?

No. The test import doesn't touch your live data. We schedule the main run for a quiet window, such as an evening or weekend, and your team keeps working in the old system until the switch.

How do you find duplicates?

We compare emails, phone numbers, company names and similar spellings of names. Clear matches are merged automatically. Doubtful ones come to you as a list for a manual decision.

What do you need from me?

Access to the old system or an export file, access to the new CRM, and someone who knows which data matters. Plan one or two hours to agree on the merge rules.

Can I go back to the old database?

Yes. We take a full backup before starting and hand it to you. The old system stays untouched until you confirm that everything looks right.

Which CRMs do you work with?

Common ones: HubSpot, Pipedrive, Zoho, Salesforce, Bitrix24, plus Excel, Google Sheets and CSV files. If yours is unusual, mention it in the brief and we will check whether it can be exported.
