N8n, Make and Zapier automation: your tools talk to each other, nobody copies data by hand

A website lead lands in your CRM, the right person gets a ping, the customer gets a reply. We connect your tools with n8n, Make or Zapier (visual builders that link apps together).

Quote and schedule after your brief

Who it's for

  • Small and mid-size businesses where someone moves leads from email or forms into a spreadsheet by hand
  • Online stores that need stock, payments, shipping and CRM to stay in sync
  • Marketers who build reports by pulling data from ads, site analytics and CRM manually
  • Service companies receiving requests from several channels: forms, Instagram, Telegram, calls

Problems we solve

Leads arrive in different places and I see some of them too late

We pull every channel into one queue: forms, messengers, email. The lead is created in your CRM and the owner gets an alert in Slack, Telegram or email.

My team copies the same data between a spreadsheet, the CRM and accounting every day

We build a workflow (a chain of steps that runs on its own): an event in one tool creates a record in another. We add duplicate checks so you don't end up with two copies of one customer.

Someone built an integration before, it broke, and nobody knows why

Every workflow gets error handling and a failure alert. We write a short guide: what runs where and what to do when something stops.

I'm afraid a contractor will lock me out of my own processes

All accounts, keys and workflows are registered under your name under the agreed terms. We work as invited users, so you can revoke access at any time.

What's included

  • Review of the current process: where people do routine work by hand
  • Tool choice: n8n, Make or Zapier, based on the task, volume and budget
  • A workflow diagram you approve before we build
  • Connecting services through APIs (how apps exchange data) or webhooks (a signal one app sends to another)
  • Data mapping and cleanup: phone formats, names, amounts, statuses
  • Protection against duplicates and repeated runs
  • Error handling and alerts when a workflow stops
  • Testing on your real data before launch
  • A written guide and a short video: how it works and what to check
  • Self-hosted n8n setup on your server, if you want to own the infrastructure

How we work

01

Brief and requirements

You describe the task and current workflow. We clarify requirements, choose a first stage and prepare a quote.

02

Pilot with a measurable KPI

We automate one process and agree on a metric, such as time from lead to first reply. You see whether it pays off before paying for the rest.

03

Diagram and approval

We draw the workflow: what triggers it, what happens, where data goes. You check that it matches how your business actually works.

04

Build and test

We build in your own account and run real cases, including failing ones: an empty field, a duplicate, an unavailable service.

05

Launch and handover

We switch it on, watch it for the first days and hand over the guide. Payment is in stages, and you already own all access.

Scope and limits

  • We don't promise to automate everything: processes that rely on human judgment or have no clear rules are better left to people.
  • We can't guarantee uptime if a vendor changes or closes its API. We will spot the failure and fix it, but outside changes are not under our control.
  • Subscriptions to n8n, Make, Zapier and servers are not included in our price. You pay vendors directly, and we advise on the right plan.

FAQ

Which should I pick: n8n, Make or Zapier?

Zapier is the simplest but gets expensive at high volume. Make is more flexible and usually cheaper. n8n can run on your own server, so cost does not grow with every run, but someone has to maintain it. We choose based on your task and show you the cost comparison.

What do the tools cost per month on top of your fee?

We prepare a quote after reviewing your brief. We list support and any third-party costs separately: subscriptions, APIs, hosting or media spend where the project needs them. Provider rates are checked before work starts.

What do I need to prepare?

A plain description of the process: what happens now and what should happen. Access to the services we connect, and a few examples of real data for testing. Also one person who can answer questions about the process logic quickly.

Can you connect tools that aren't in the ready-made lists?

Often yes, if the tool has an API or webhooks. If not, we look for a workaround: email parsing, file exports or a small custom script. If a connection is impossible or too fragile, we tell you before you pay.

What happens if a workflow breaks?

You get an alert and the data is not lost: failed runs stay in the log and can be replayed. On the Support package we fix failures ourselves. Without it, you can hire us for a one-off fix or follow the guide.

Can automation be combined with an AI agent?

Yes. The workflow moves data, and an AI agent (a program that reads text and replies to customers) handles messages or requests. For example, a chatbot collects contact details and a workflow creates the deal in your CRM. The chatbot is a separate service.
