Your inbox sorted, with draft replies waiting for approval

AI reads each incoming email, works out the topic and urgency, files it, and writes a draft reply. Your team reviews and hits send. Leads from your website and ads stop getting buried, and routine replies stop eating the day.

Quote and schedule after your brief

Who it's for

  • Founders and managers who answer dozens of repetitive emails daily
  • Sales teams whose leads arrive by email
  • Support and finance teams running shared inboxes like info@ or support@
  • Companies that correspond with customers in several languages

Problems we solve

New enquiries sink in the inbox and customers wait half a day for a reply.

AI flags new leads as urgent and drafts a reply with the right details. Your manager sees them at the top of the list.

I keep answering the same questions about pricing, timelines and shipping.

We load your price list, terms and standard answers into a knowledge base. Drafts are built from those documents, not from the model's guesses.

Important emails get lost between newsletters, invoices and spam.

We set up categories: customers, invoices, partners, newsletters, other. Each one gets its own folder, label and rule.

Someone has to copy details from emails into the CRM by hand.

AI extracts the name, contact details and the request, then creates a CRM record or a spreadsheet row. The manual copying goes away.

What's included

  • Review of 50–100 of your real emails to define categories and rules
  • Connection to Gmail, Microsoft 365 or any IMAP mailbox (the standard email protocol)
  • Auto-sorting by topic, urgency and language
  • Draft replies in your tone of voice, aware of earlier messages in the thread
  • Knowledge base: price list, FAQ, terms and templates the AI draws facts from
  • Data handoff to your CRM, spreadsheet or chat tool (via n8n or Make, workflow builders)
  • Rules for sensitive topics: complaints, refunds and legal questions go to a person with no draft

How we work

01

Brief and requirements

You describe the task and current workflow. We clarify requirements, choose a first stage and prepare a quote.

02

Rules and knowledge base

We agree on categories, tone and the topics where AI stays silent. You provide the price list, FAQ and examples of emails you consider good.

03

Pilot with a KPI

We start on one mailbox in draft-only mode. Together we pick a metric, such as first-response time, and measure it before and after.

04

Tuning from real use

We read what your team edited in the drafts and refine the rules and knowledge base. Mistakes at this stage are cheap to fix.

05

Launch and handover

We connect the remaining mailboxes and the CRM. All accounts, files and access belong to you under the agreed terms. Payment is in stages.

Scope and limits

  • We don't promise error-free replies. A person reviews every draft, and sensitive emails are left to people.
  • We don't send emails to customers automatically unless you explicitly ask. By default, AI only prepares a draft.
  • We don't replace your sales or support staff. AI removes routine work, while negotiations and decisions stay with people.

FAQ

Is it safe to give AI access to my mailbox?

You grant access through a separate account or key that you can revoke in a minute. We agree on which mailboxes and folders the AI can see, and which data never goes to the model. For EU customers we also check GDPR requirements.

Will the AI reply to customers without me?

Not unless you decide so. The default mode is that AI puts a draft in your mailbox and you read and send it. Auto-replies can be switched on for simple cases, such as confirming that an enquiry was received.

How does the AI know what to say about prices and timelines?

We prepare a quote after reviewing your brief and requirements. A first stage can cover: one mailbox connected; Sorting by labels and folders. Scope, payment and schedule are agreed before work starts.

Which email systems work?

Gmail, Google Workspace, Microsoft 365 and Outlook, plus any mailbox that supports IMAP. Some corporate servers need approval from your IT admin, so it's best to clarify that before work starts.

What do you need from me to start?

Mailbox access, 50–100 sample emails, a price list or FAQ, and a list of topics only a person should answer. We also need one person who can tell us during the pilot which drafts were good and which weren't.

How much does it cost and how do I pay?

Payment terms are agreed with the quote before work starts. For a staged project, we describe the result and acceptance criteria for each stage. Support and third-party services are listed separately.
