RPA bots that do the routine work in software with no integration

RPA (Robotic Process Automation) means software bots that work in applications the way a person does: open windows, copy data, fill in fields. It fits when a system has no API (a way for programs to exchange data) or when custom integration costs too much. We build bots in UiPath or Power Automate and connect them to your website and CRM.

Quote and schedule after your brief

Who it's for

  • Finance and accounting teams moving data between ERP, bank portals and spreadsheets by hand
  • Logistics and warehouse teams on older systems with no integrations
  • Insurance, healthcare and legal firms working through portals without APIs
  • Online stores where web orders get retyped into back-office software

Problems we solve

An employee spends hours every day moving data from one app to another

We document the person's steps and rebuild them as a bot. It runs on a schedule or a trigger and hands exceptions to a human.

The legacy app has no API and the vendor is gone

The bot works through the interface, so we don't touch the app's code. We choose stable ways to identify each field so small window changes don't break the flow.

People make typos and nobody notices for a week

We add validation before every write and log every action. Doubtful records go to manual approval instead of the database.

You worry a bot could damage live data

We first run it on a data copy or a small batch. Each step has a rollback path and an alert to email or Slack.

What's included

  • Process review: who does what, in which app, in what order
  • Tool choice: UiPath or Power Automate Desktop, based on your licenses and the task
  • Process diagram and exception rules, such as a missing file or empty field
  • Bot development with a dedicated account and minimum permissions
  • Error handling, retries and an action log
  • Failure alerts to Slack, Teams or email
  • Testing on copied data and a pilot run
  • Team handover guide, with all files and access transferred to you
  • Connection to your CRM, spreadsheets or an AI agent where needed, so the bot fits the website, customers and automation chain

Choose the scope

Use a package to describe what you need. We agree on the quote and schedule after reviewing your brief and requirements.

01

Single process

One repeating task across one or two applications

  • Process review and diagram
  • One bot
  • Error handling and logging
  • Pilot with a measurable KPI

02

Connected systems

A process spanning 3–4 systems, including your website and CRM

  • Several bot workflows
  • CRM and email connection
  • Data checks and manual approval for exceptions
  • Slack or Teams alerts
  • Team training

03

Department automation

A department with several bots and high transaction volume

  • Process map and priorities
  • 3–5 bots
  • Central run control
  • Execution reports
  • an agreed period of support after launch

How we work

01

Brief and requirements

You describe the task and current workflow. We clarify requirements, choose a first stage and prepare a quote.

02

Process capture

We watch how your employee does the task and record steps and exceptions. We agree a pilot KPI, such as minutes per transaction.

03

Pilot

We build the bot for one scenario and run it on copied data. We measure results against the agreed KPI.

04

Scale-up

If the pilot works, we add the remaining scenarios and alerts.

05

Handover

You receive the files, accounts and documentation. Everything is yours under the agreed terms.

Scope and limits

  • We don't promise a bot will never break after an app update. Interfaces change, so some maintenance is normal
  • We don't automate work that needs human judgment or has no clear rules
  • We don't bypass security or use someone else's login: the bot uses a separate account that you issue

FAQ

How is RPA different from an API integration?

An API moves data directly between systems and is faster and more stable. RPA imitates a person using the interface. It makes sense when no API exists or building one costs too much. If an API is available, we will tell you to use it.

What do UiPath or Power Automate licenses cost?

We prepare a quote after reviewing your brief and requirements. A first stage can cover: process review and diagram; One bot. Scope, payment and schedule are agreed before work starts.

What happens when the application updates?

The bot may stop finding a button or field. That is why we add failure alerts and logs. Small fixes can be ordered separately or under monthly support, or your team can make them using our guide.

What do you need from me to start?

A description of the process, access to the applications through a dedicated bot account, a few real data samples, and someone who knows the process. Without that person, we would be guessing at exceptions.

Is it safe to give a bot passwords?

Credentials are kept in the tool's secure vault, not in code. The bot gets its own account with minimum permissions. All access stays yours and you can revoke it anytime.

How fast will a bot pay for itself?

Payment terms are agreed with the quote before work starts. For a staged project, we describe the result and acceptance criteria for each stage. Support and third-party services are listed separately.
